This is a working draft, not legal advice. It accurately describes what this system actually does with data today. It does not yet cover possible future uses, such as using accumulated, anonymised data to improve the matching engine over time or as part of a future business sale. That is a specific open question flagged for legal review before it applies. Get this reviewed by someone qualified in UK/EU data protection law before relying on it as final.

Who this covers. Anyone who applies for a role through this system (“candidates”), and the company representatives who use it to hire (“founders”/“admins”).

What we collect.

  • From candidates: name, email, your answers to the pre-application questionnaire, your CV text, and interviewers' notes and scores about you.
  • From founders/admins: your email and a hashed password (we never store your actual password).

Why we collect it. Solely to run a structured hiring process for the role you applied to or the company you represent: screening, interview scoring, and the hire/no-hire decision.

Automated processing. Parts of your CV and answers are analysed by an AI model (Anthropic) to help score fit against the role's criteria. A human always makes the final hiring decision. The system flags and assists, it doesn't decide.

Who else sees it. Data is processed by our infrastructure providers acting only on our instructions: hosting (Vercel), database (Supabase), AI scoring (Anthropic), and email delivery (Resend). We don't sell data or share it with anyone else.

How long we keep it. A candidate's directly identifying data (name, email, CV text, interviewers' written notes) is automatically and permanently erased 6 months after their application, whether or not they were hired. Their answers to the pre-application questionnaire are kept after that alongside the decision made and retention outcomes. Those answers are a set of multiple-choice selections with nothing identifying in them, and once your name and email are gone they can't be traced back to you. Keeping them helps the system score future candidates more accurately. You can request immediate erasure of your identifying data at any time; see below.

Your rights. You can ask to see the personal data we hold on you, ask us to correct it, or ask us to erase it immediately rather than waiting for the automatic 6-month erasure. To do either, contact the company you applied to, or privacy@inter-hiring.com.
